This process needs to be completed manually as Expedia will not import the photos or property descriptions from the Channel Manager. The information added through the Expedia website must be the same as the information on the Avantio VRMS, e.g. minimum stay, minimum/maximum capacity...
For each ‘hotel’ or ‘building’, you will have to send the property details to Expedia. Your Expedia account manager will send you a Connectivity Enrollment Form to complete.

Activating properties and portal configuration
Step 1. Within the Channel Manager tab, click on ‘Activate/Deactivate Accommodations’.
Step 2. To link an accommodation, check the corresponding box and click ‘New’.
Step 3. Enter the 'hotel ID' of the previously created property from Expedia. Please note that the 'hotel ID' will only be accepted if the Connectivity Enrollment Form has been sent.
Step 4. Select the 'Room type ID' and 'Rate ID' from the following drop down boxes. The system will provide you with the room type and rate based on the hotel ID entered. Once all the information has been selected, click accept to save the changes.
Step 5. You have the option to apply a price increase by clicking ‘configure’ under Expedia. Click ‘save’ to confirm any changes made.
Important information
Discounts and supplements will not be synchronised. The Avantio VRMS can only synchronise one rate with Expedia. If you wish to add any discounts, supplements or any other rates, e.g. non-refundable rates, they can be added manually and recalculated from the base rate that is sent from the Avantio VRMS. This process will be completed by your Expedia account manager before the connection is made.
However, simple discounts expressed as a percentage will be synchronised. For example, 30% discount between the 12th-20th of May.
To deactivate an accommodation, you must request the deactivation through Expedia before performing the action on the Avantio Channel Manager.
Synchronised reservations have a time frame in which they need to be confirmed.
- Reservations made with less than 48 hours before the check-in date will expire two and a half hours after the reservation has been received.
- Reservations made more than 48 before the check-in date will expire 24 hours after the reservation has been received.
After the deadline, the reservations will be sent by fax or email. These reservations need to be managed manually as they will not be synchronised.
